Eliminating the data-entry burden burying finance teams

Use Case Brief | UC-FINANCE-2026

Finance & Accounting

Financial institutions, accounting firms, and CFO offices are under compounding pressure. More data, more regulation, leaner teams. JANUS deploys coordinated fleets of agentic AI across the financial enterprise to automate workflows, enforce compliance, and surface the intelligence that drives better decisions.

Bookkeepers and small-firm CPAs servicing multiple SMB clients carry a chronic operational burden: receipts in a dozen formats, monthly bank exports that don’t match the books, and a 1099 fire drill every January. These aren’t edge cases. They are the job. JANUS removes them entirely.

The Three Silent Killers

Receipt-to-ledger backlog. Receipts arrive as photos, PDFs, forwarded emails, and spreadsheet exports, each from a client with a different chart of accounts. OCR alone gives you “Home Depot $247.32” with no idea whether that is COGS, supplies, capex, or owner draw. JANUS agents classify every receipt against the client’s specific GL structure, learn from prior decisions, and escalate only the exceptions that genuinely need a human.

Bank reconciliation. The natural language on a bank line (“AMZN Mktp US*1A2B3C”) rarely matches the accounting payee (“Amazon Business”). JANUS performs fuzzy matching across bank exports and accounting system exports, categorises unmatched lines as missing entry, personal expense, or transfer, and auto-drafts the client email requesting the specific missing items, before the bookkeeper even opens their inbox.

1099 contractor compliance. Every January: identify which vendors crossed $600, chase W-9s from contractors who stopped responding in March, validate TINs, generate forms, hit the January 31 deadline. JANUS starts the W-9 collection cycle in November, validates TINs through the IRS TIN Matching API before filing, and handles the escalation cadence automatically.

02 // Key Objectives

  • Eliminate manual receipt-to-ledger processing from every client engagement
  • Compress month-end and year-end close cycles through automated reconciliation
  • Achieve sustained 1099 compliance and eliminate IRS B-notice exposure
  • Free finance professionals to focus on analysis and advisory, not data entry

Example Deployment Architecture

The following represents a representative architecture for Finance & Accounting engagements. Actual agent count and integrations scale with client volume and surface area.

Orchestration Layer
Orchestration Agent
Context & Coordination

Maintains shared context across all agents, delegates tasks, resolves conflicts between agent outputs, and escalates exceptions that require human judgment. Ensures every downstream agent operates with the full picture of each client engagement.

01 Capture & Normalise
Agent A

Ingests receipts and bank exports from email aliases, mobile uploads, and folder watchers (Dropbox, Drive, OneDrive). Granite Vision OCR extracts vendor, date, amount, and line items into a canonical record regardless of source format.

02 Classify & Match
Agent B

Reads the client's chart of accounts and prior 90 days of categorisation decisions. Scores each transaction by GL account and tax treatment. Performs fuzzy matching between bank lines and accounting entries. Below-threshold items escalate with a one-click approve-and-remember interface.

03 Reconcile, Report & Chase
Agent C

Produces ready-to-post journal batches at month-end and generates reconciliation reports. Auto-drafts client emails listing specific missing receipts. For 1099 season, manages W-9 collection from November, validates TINs through the IRS API, and submits the filing batch.
